An open shift is a slot the solver needs to fill — it'll find who covers it based on availability and eligibility.
Saved automatically whenever a week is locked, unlocked or published. Restoring loads that version back into the editor as a draft — it does not publish it.
Staff only see the rota, and get an email when you publish, once they have an account. Add an email for each person and we'll send them a link to set one up.
Only people with an email typed in are sent an invite, so to invite one person, fill in just theirs. Links last 7 days, and staff already connected aren't emailed again. Pick Manager for anyone who should be able to change the rota too.
For an owner, a bookkeeper or an accountant. They can see and change the rota, the wages and the timesheets. If they already have a staff login here, they're made a manager straight away.
Leave their box empty. They can still get the week without an account: paste it into your group chat, or print it for the staff room.
The staff copy shows names and shifts only. No wages or costs.
Approve holiday requests and availability changes, or click a day to mark it: once for Holiday, again for Sick, again for Off (unpaid), and once more to clear. The solver won't assign anyone on a marked day. Holiday days are costed for fixed-hours staff; sick and off days aren't. Avoid medical detail.
Striped = normally unavailable that day. Blue = holiday, amber = sick, red = off.
Set the venue GPS base, enable clocking, then use the tablet link on attendance.rotadone.co.uk. Clock events capture point-in-time GPS only.
Open this on the venue tablet. Staff choose their name there. Staff using their own phone can visit attendance.rotadone.co.uk while logged in.
These rules apply when you press Solve. Tighten them for compliance, relax them when you need a workable draft.
