Last updated: 7 May 2026. These terms explain how Rota Done can be used and what customers are responsible for when they manage rota data.
Using Rota Done
Rota Done helps hospitality venues create, save, solve and publish staff rotas. Managers can add staff details, set shift requirements, build schedules, and share published shifts with their team.
You are responsible for making sure the data you enter is accurate, lawful, and appropriate for your venue.
Customer Responsibilities
- Only enter staff data you have a lawful basis to use.
- Tell your staff how their rota data is being used.
- Keep login details secure and restrict manager/admin access.
- Use clear operational absence notes rather than medical or sensitive details.
- Check solved rotas before publishing them.
Trials, Billing And Cancellation
Rota Done may offer a free trial. You will not be charged unless the product asks you to choose a paid subscription and complete payment. If billing is enabled later, payments will be handled by Stripe.
You can stop using the service at any time. Data deletion and export requests can be sent to support@rotadone.co.uk until self-serve controls are available.
Acceptable Use
- Do not use Rota Done for unlawful, abusive, fraudulent, or harmful activity.
- Do not attempt to access another venue's data.
- Do not interfere with the service or bypass security controls.
- Do not store unnecessary special-category data such as health details in rota notes or absence requests.
Availability And Accuracy
Rota Done can save time when building rotas, but managers still need to check the final schedule before publishing it. That includes checking employment rules, contracts, payroll implications, and anything specific to the venue.
The solver is a planning tool. It does not replace manager judgement.
Data Protection
Our privacy policy explains what we store and why. For staff rota data entered by a venue, the venue is normally the data controller and Rota Done acts as processor. See Privacy Policy and Data Processing Terms.
