Publish with email notifications
One click publishes the rota and emails everyone on it who has an account their shifts for the week, and tells you who still needs an invite. Change it later and only the people whose shifts moved are emailed again.
Absences, locks, multi-week rotas

Yes. As you build a rota, Rota Done adds employer National Insurance, holiday pay and workplace pension to wages, and works out your labour percentage on that full cost. Click On-costs under the rota to see the breakdown for each person.
Each pay period gives you a BrightPay import file, a summary spreadsheet you can import into Sage and most other payroll software, a line-by-line timesheet and a printable sign-off sheet. Using something else? Tell us which payroll software you use and we'll work on an export for it.
No. Rota Done forecasts labour cost and prepares signed-off hours and pay for your payroll software or accountant. Tax, employee National Insurance and statutory sick pay are worked out by your payroll software, so the employer NI and pension figures are estimates for planning.
Subscribe whenever you're ready: billing only starts when your 30 free days are up, so subscribing early costs nothing extra. If you decide not to continue, your account is paused rather than wiped, and your rotas are kept so you can pick up where you left off if you subscribe later. You can delete your account and everything in it from Settings at any time. You're never charged without choosing a plan.
Yes. You can cancel from your account settings at any time with no penalty and no notice period. On a monthly plan your access continues until the end of the billing period. On an annual plan you keep access for the remaining months you've paid for — we don't offer partial-year refunds, but we'll never charge you again after you cancel.
Yes — the £19/month (or £190/year) price is per venue. Each venue gets its own workspace with its own staff, shifts, and rotas. If you run two sites that share staff, you'd have two separate subscriptions. If you have three or more venues and want to discuss a group rate, get in touch and we'll work something out.
No contract. Monthly billing runs month to month with no minimum term. Annual billing is a 12-month commitment paid upfront — in exchange you get two months free. Either way, you're not locked in long-term and there are no cancellation fees.
Staff join via an invite you send from the rota editor. They click the link in the email, pick a password, and they're in — that's the whole setup. After that they just visit rotadone.co.uk on their phone to see their shifts. No app store, no lengthy signup form.
